Overview
This report is used to monitor RSE workers (New Zealand) and PALM workers (Australia) against the minimum hours requirement over a 4 week period. Where a worker has not received the equivalent of 120 hours of work during the selected 4 week block, the report calculates any top up payment that may be required to meet the applicable scheme requirements.
Report Setup
- Click Setup.
- Scroll down to RSE Minimum Hours Report Settings (NZ) or PALM Minimum Hours Report Settings (AU).
- Enter the start date of the first 4 week block you wish to monitor within AgriSmart.
- Click Save.
Assigning RSE/PALM Workers
Individual
- Hover over Setup on the menu bar and click Team Manager.
- Locate the employee and click on their name to open their profile.
- On the General tab, scroll down and locate the RSE Worker (NZ) or PALM Worker (AU) field.
- Select Yes.
- Click Save.
Bulk
- Hover over Setup on the menu bar, then hover over Team Manager, then Bulk Team Manager, then click General.
- Apply any filters if required, then click GO.
- Locate the RSE Worker (NZ) or PALM Worker (AU) column.
- In the yellow box beneath the column heading, select Yes from the dropdown.
- Click the downward arrow under the dropdown to apply this to all employees currently shown in the table.
- Locate the Update Team Member column on the far left of the table.
- To select all employees shown in the table, tick the checkbox in the yellow section at the top of the column, then click the arrow directly underneath it.
- To exclude specific employees, untick the checkbox on their row.
- To only update certain employees, only tick the checkboxes for the applicable employees.
- Click Save.
Accessing the Report
Hover over Reports on the menu bar, then click RSE Minimum Hours (NZ) or PALM Minimum Hours (AU).
Using the Report
Once you have accessed the report, apply the applicable filters and click GO.
Column Explanation
- Employee Code
- Displays the employee’s assigned code.
- Team Member
- Displays the employee’s name.
- Weeks 1-4
- Displays the employee’s paid hours for each week within the selected 4 week block.
- Total Hours Paid
- Displays the total number of hours the employee has been paid for during the selected 4 week block.
- Employment Start Date
- Displays the employee’s start date.
- Pro-rate Minimum Hours
- Indicates whether the employee’s minimum hours have been pro-rated based on their employment start date. This will only occur if the employee started during the selected 4 week block. If this field is blank, the employee’s minimum hours have not been pro-rated.
- Start Week
- Displays the week within the selected 4 week block that the employee commenced employment. If the employee was employed before the start of Week 1, this field will be blank.
- Days Paid (First Week Employed)
- Displays the number of paid days in the employee’s first week of employment if they commenced during the selected 4 week block. If the employee was employed before the start of Week 1, this field will be blank.
- Minimum Hours
- Displays the minimum hours that the employee must be paid for during the selected period. If their hours have been pro-rated, this will be less than 120. If they have not been pro-rated, this will be 120. Hours are only pro-rated where the employee commenced employment part way through the selected 4 week block.
- Minimum Hourly Rate
- Displays the minimum hourly rate applicable to the employee. This comes from their Team Manager profile.
- Minimum Pay
- Displays the minimum amount the employee should be paid for during the selected period. This is calculated by multiplying the Minimum Hours by the Minimum Hourly Rate.
- Amount Paid
- Displays the total amount paid to the employee during the selected period.
- Top-up Amount
- Displays the amount the employer must pay if the employee’s Amount Paid is less than their Minimum Pay.
- Employee Hourly Rate
- Displays the employee’s actual hourly rate. This may be the same as or higher than their minimum hourly rate.
- Top-up Hours
- Displays the number of hours represented by the Top-up Amount, calculated by dividing the Top-up Amount by the Employee Hourly Rate.
- Top-up Payment
- Displays the top-up payment generated for the employee for the selected period. This column will display 0.00 until top-up payments have been generated. Once generated, if a top-up is payable, the amount displayed in this column will match the amount shown in the Top-up Amount column.
Generating Top-up Payments
Once the 4 week block is complete, a Generate Top-up Payments button will appear in the top right-hand corner of the report. This button will only be available once the selected 4 week block has ended.
When clicked, the amount shown in the Top-up Payment column will be transferred to the employee’s Remuneration Report.
The payment will be allocated to the final pay period of the selected 4 week block only. For example, if Week 4 of the block is 25/05/2026 to 31/05/2026, the payment will be allocated to that pay period.
Once top-up payments have been generated, the Top-up Payment column will display the generated payment for any employees entitled to a top-up. If an employee is not entitled to a top-up payment, this column will remain 0.00.
Viewing Top-up Payments in the Remuneration Report
Once top-up payments have been generated via the RSE/PALM Minimum Hours Report, they can be viewed within the employee’s Remuneration Report for the applicable period.
To do this:
- Hover over Reports and click Remuneration Report.
- Apply the required filters and click GO.
Within the report, there is a section called Pay Items, located underneath the employee’s timesheets for the period.
Within this section, there will be a line item called RSE Minimum Hours Top-up (NZ) or PALM Minimum Hours Top-up (AU). This amount has flowed through from the RSE/PALM Minimum Hours Report.
This amount will also be included in the employee’s Bonus Amount section, located near the top of the report underneath the employee’s name.
The amount is included in the employee’s Total Amount, along with their ordinary earnings and any other applicable pay items for the period.
