Overview
When an employee has an outstanding amount owing to your business, you can manage their repayments by setting up a deduction.
Each pay period, the specified repayment amount will be deducted from the employee’s pay while there is an outstanding balance.
Employees may sometimes make additional repayments outside of their pay run. For example, they may make a voluntary EFTPOS payment at work or transfer money directly into the employer’s bank account.
This guide explains how to record a manual repayment made outside of a pay run. Recording the repayment ensures the employee’s outstanding balance remains accurate and prevents them from repaying more than they owe.
Manual repayments can be recorded in 3 places:
- Payment Balances Report
- Other Deductions Report
- Team Manager
Payment Balances Report
Add a repayment
- Hover over Reports then click Payment Balances Report.
- Locate the employee and deduction with the outstanding balance you need to reduce. Use the filters if required.
- Click anywhere on the employee’s row to open the Deductions pop-up.
- Click the plus (+) icon on the far right of the table.
- Enter the amount manually repaid by the employee.
- Enter the date the repayment was made.
- Click Save.
Delete a repayment
- Hover over Reports then click Payment Balances Report.
- Locate the employee and the applicable deduction. Use the filters if required.
- Click anywhere on the employee’s row to open the Deductions pop-up.
- Click the cross (x) icon beside the manual repayment you want to delete.
- Click OK to confirm.
Other Deductions Report
Add a repayment
- Hover over Payroll then click Other Deductions Report.
- Locate the employee and deduction with the outstanding balance you need to reduce. Use the filters if required.
- Scroll to the far right of the table and click View in the Deductions column.
- In the Deductions pop-up, click the plus (+) icon on the far right of the table.
- Enter the amount manually repaid by the employee.
- Enter the date the repayment was made.
- Click Save.
Delete a repayment
- Hover over Payroll then click Other Deductions Report.
- Locate the employee and the applicable deduction. Use the filters if required.
- Scroll to the far right of the table and click View in the Deductions column.
- In the Deductions pop-up, click the cross (x) icon beside the manual repayment you want to delete.
- Click OK to confirm.
Team Manager
Add a repayment
- Hover over Setup then click Team Manager.
- Locate the employee and click anywhere on their row to open their profile. Use the filters if required.
- Click the Payroll tab.
- Scroll down to the Other Deductions section.
- Locate the deduction with the outstanding balance you need to reduce.
- Click the document icon at the far right of the deduction row, immediately beside the cross (x) icon.
- In the Deductions pop-up, click the plus (+) icon on the far right of the table.
- Enter the amount manually repaid by the employee.
- Enter the date the repayment was made.
- Click Save.
Delete a repayment
- Hover over Setup then click Team Manager.
- Locate the employee and click anywhere on their row to open their profile. Use the filters if required.
- Click the Payroll tab.
- Scroll down to the Other Deductions section.
- Locate the applicable deduction.
- Click the document icon at the far right of the deduction row, immediately beside the cross (x) icon.
- In the Deductions pop-up, click the cross (×) icon beside the manual repayment you want to delete.
- Click OK to confirm.
