Overview
The applicant details page brings together an applicant’s personal information, application documents, answers and contract information. You can switch between applicants for the same job, review the information available at their current stage and take the actions allowed for their status.
Open an applicant’s details
- Hover over Setup and click Onboarding.
- On the Job Listings page, click the relevant job.
- In the Applicants table, click the applicant’s row.
Find and switch between applicants
The Applicants panel on the left lists the applicants for the job. Enter a name in Search applicants to find someone, or click a status above the list to show applicants at that stage. Each status shows how many applicants it contains. Click All to see applicants across all statuses.
Click an applicant’s name to view their details. The selected applicant is highlighted, and their application date appears beneath their name in the list.
When you change the status filter, the applicant you currently have open may still appear at the top of the list, even if they do not match the filter. They will disappear from the list when you select another applicant.
Review applicant information
At the top of the details panel, you can see the applicant’s name and recruitment status. Their information is grouped into:
| Section | What it shows |
|---|---|
| Personal | First name, last name, gender, date of birth, nationality and ethnicity. |
| Contact | Email, phone, mobile and address, where provided. |
| Work Status | Work or visa status and visa expiry date, where applicable. |
| Next of Kin | Emergency contact name, contact details and address, where provided. |
Expired visa dates are highlighted in red.
The buttons near the top right of the page depend on the applicant’s status. For instructions on shortlisting, declining, approving, importing or rehiring an applicant, see Manage applicants.
Read a cover letter
If the applicant submitted a cover letter, a preview appears in Cover Letter. Click Read full cover letter to read the complete text. This section does not appear if no cover letter was provided.
Review application documents
Application Documents shows files the applicant submitted with their application, such as a CV. For hired applicants, it also contains the signed employment agreement, tax declaration and any applicable KiwiSaver forms.
Click the download icon beside a file to save and review it. If there are no documents, the section displays No documents attached.
Review questions and answers
Questions & Answers shows the job’s application questions and the applicant’s responses. If the job has no questions, the section displays This job has no application questions.
Review agreement and contract details
Agreement & Contract appears for applicants with an offer sent and those who have been hired. It shows:
- Contract terms: Start date, fixed contract end date where applicable, salary or wage rate, and daily contracted hours.
- Bank details: Account name, bank and account number, where provided.
- KiwiSaver: The applicant’s KiwiSaver status, including whether they are an existing member, joining or opting out, where applicable.
Review identity documents
For hired applicants, Identity Documents shows uploaded files such as a driver licence, passport or visa. Click a document to preview it, then click Download in the preview window to save a copy.
If a document is incorrect, see Review documents before importing in Manage applicants for the next steps.
