View hazardous substances
- Hover over Health and Safety or Spray Diary on the menu bar, then click Hazardous Substances.
Add hazardous substance
- Hover over Health and Safety on the menu bar, then select Hazardous Substances and click Add Hazardous Substance. Alternatively, hover over Spray Diary on the menu bar, select Hazardous Substances, then click Add Hazardous Substance.
- Fill out the details in the Add Hazardous Substance section.
- Fill out the details in the Stock Purchase Details section.
- To add Supporting Files, click Choose File, then find and select your file, and click Open.
- Click Save.
Record hazardous substance purchase
- Hover over Health and Safety or Spray Diary on the menu bar, then click Hazardous Substances.
- Click on the applicable substance to open the Edit Hazardous Substance screen.
- Scroll down to the Stock Purchase Details section.
- Enter the Quantity Purchased and Purchased On.
- Click Save.
Record hazardous substance use
Option 1: Record usage manually (without the Spray Diary)
This option can be used if you do not use the Spray Diary, or if you prefer not to link Spray Diary chemicals to hazardous substances.
- Hover over Health and Safety on the menu bar, then click Hazardous Substances.
- Click the applicable substance to open the Edit Hazardous Substance screen.
- Scroll to the Stock Purchase Details section.
- Enter the Quantity Used and/or Quantity Wasted.
- Click Save.
Option 2: Use both the Spray Diary and manual entries
This option is useful if some hazardous substance usage is captured through spraying, but additional usage needs to be recorded manually.
In this case:
- Any usage recorded via the Spray Diary will update the hazardous substance automatically (as outlined below).
- Any additional usage can still be recorded manually using Quantity Used and Quantity Wasted in the Stock Purchase Details section.
Both methods work together to keep stock levels accurate.
Option 3: Record usage automatically via the Spray Diary
If a hazardous substance is linked to a chemical type in the Spray Diary, usage can be recorded automatically.
- Link the hazardous substance to the applicable chemical type in the Spray Diary. For help setting this up, click here.
- When a Spray Diary entry is created and a linked chemical is used, the substance usage is recorded automatically.
How the stock is updated depends on how the Spray Diary entry is completed:
- If the Spray Diary is completed immediately
- The stock used will update the Accumulative usage field in the Stock Purchase Details section.
- The Closing Stock will be updated accordingly.
- The usage will also appear in the Stock History section.
- If the Spray Diary entry is created but assigned to an employee to complete later
- The forecasted usage will populate the Accumulative usage forecast field in the Stock Purchase Details section.
- The Closing Stock will temporarily deduct the forecasted amount.
- The forecasted usage will also appear in the Stock Usage Forecast section, indicating that the stock is expected to be used but has not yet been officially recorded.
Once the Spray Diary task is completed, the forecasted usage will convert to actual usage.
Edit hazardous substance
- Hover over Health and Safety or Spray Diary on the menu bar, then click Hazardous Substances.
- Click on the applicable substance to open the Edit Hazardous Substance screen.
- Make the relevant changes then click Save.
Delete hazardous substance
- Hover over Health and Safety or Spray Diary on the menu bar, then click Hazardous Substances.
- Click the cross icon in line with the applicable substance, then click OK.
