Tasks

Use Tasks to assign work to a specific employee on a particular date.

Calendar overview

The calendar is displayed on a weekly basis. You can navigate through past and future weeks using the left and right arrows located above and to the left of the calendar. Based on the employee’s roster, white days indicate rostered days on, blue days represent rostered days off, and any other color signifies leave taken by the employee. It is recommended that tasks are only assigned when the employee has a rostered day on.

Add task

Option 1

1. Click Tasks from the menu.

2. Click Create task (located above the Tasks panel on the right-hand side).

3. Select a Code (task).

4. Select a User.

5. Select a Date.

6. Set up repetition details (optional).

For more information on how to do this, refer to the Repeat task section.

7. Select a Job (optional).

8. Select a Location (optional).

9. Enter Notes (optional).

10. Click Create.

Option 2

1. Click Tasks from the menu.

2. From the Tasks panel on the right-hand side, drag and drop the relevant task onto the calendar for the appropriate date and employee.

3. Click on the task to open the Edit task screen.

4. Set up repetition details (optional).

5. Select a Job (optional).

6. Select a Location (optional).

7. Enter Notes (optional).

8. Click Save.

Edit task

The following changes can be made:
– Change the task
– Assign the task to a different employee
– Change the task date
– Update repetition details
– Update the associated job
– Update the location
– Add specific notes to the task.

1. Click Tasks from the menu.

2. Find the task on the calendar that you want to edit.

3. Click the task to open the Edit task screen.

4. Make the necessary changes.

5. Click Save.

Move task

Option 1

1. Click Tasks from the menu.

2. Find the task on the calendar that you want to move.

3. Click the task to open the Edit task screen.

4. Update the User and/or Date.

5. Click Save.

Option 2

1. Click Tasks from the menu.

2. Find the task on the calendar that you want to move.

3. Click and drag the task to the appropriate date or user.

Remove task

Option 1

1. Click Tasks from the menu.

2. Find the task on the calendar that you want to remove.

3. Click the task to open the Edit task screen.

4. Click Delete.

5. Click OK.

Option 2

1. Click Tasks from the menu.

2. Find the task on the calendar that you want to remove.

3. Click and drag the task to the bin icon located above the calendar on the right-hand side.

Repeat task

1. Click Tasks from the menu.

2. Find the task on the calendar that you want to repeat.

3. Click the task to open the Edit task screen.

4. The number of consecutive days to be repeated field typically has a value of 1, meaning the task will only appear once on the selected day. If you need the task to be added more than once on the same day, adjust the dropdown accordingly.

5. Choose the appropriate cycle (days, weeks, or months) in the following intervals field then specify how often the task should be repeated. For example, if the task needs to be repeated every 3 days, select 3 and days.

6. Click Save.

7. Back on the calendar, click the Repeat button (located above and to the left of the calendar).

8. Click OK.

Repeated tasks will only display one month in advance. This limitation allows you to easily delete the task and all its repeats if needed.

Track tasks

Incomplete

1. Click Tasks from the menu.

2. Select the Location (optional).

3. Choose No in the Complete field.

4. Filter users (optional).

This will display all tasks that have not been completed.

Complete

1. Click Tasks from the menu.

2. Select the Location (optional).

3. Choose Yes in the Complete field.

4. Filter users (optional).

This will display all tasks that have been completed.

All

1. Click Tasks from the menu.

2. Select the Location (optional).

3. Choose All in the Complete field.

4. Filter users (optional).

This will display all tasks, both complete and incomplete. Completed tasks are marked with a tick, making them easy to identify.

Add note

Notes will appear at the bottom of the calendar, displaying any notes set for the current week. Notes from past weeks will only be visible if you view that specific week in the calendar. Likewise, notes for future weeks will not appear until you either reach that week or scroll to it in the calendar.

1. Click Tasks from the menu.

2. Click Add note.

3. Select a Start and End date.

4. Assign a Location (optional).

5. Enter a Note.

6. Click Add.
