Import timesheets to MYOB

This process is only applicable for Australian MYOB products.

1. Hover over My Timesheet and click Bulk Timesheet Editor.

2. Enter the date range.

3. Click GO.

4. Click Export.

5. Open this link in a new tab.

6. Open the Download and modify the sample file section, right-click the SampleTimesheetsFile.text link, click Save link as, and save it to your desktop or preferred folder.

7. Open a blank Excel workbook.

8. Click and drag the downloaded sample file into the workbook.

9. Open both the MYOB sample file and the timesheets you exported in Step 4.

10. AgriSmart combines the employee’s first and last name in one cell, but MYOB requires them to be separated and displayed as last name, first name. To adjust this, insert a new column between Team Member (A) and Employee Code (B) in the AgriSmart export.

If any employees have three or more names, you will need to insert additional columns to accommodate this. In such cases, the column letters won’t align with the instructions below.

11. Select the Team Member (A) column in the AgriSmart export.

12. Go to the Data tab and select Text to Columns.

13. Choose Delimited and click Next.

14. Select Space as the delimiter and click Finish.

15. Copy the Team column (A) from the AgriSmart export to the Employee First Name column (B) in the MYOB file.

16. Copy the Member column (B) from the AgriSmart export to the Employee Co./Last Name column (A) in the MYOB file.

17. Copy the Employee Code column (C) from the AgriSmart export to the Employee Card ID column (H) in the MYOB file.

18. Copy the Date column (D) from the AgriSmart export to the Date column (F) in the MYOB file.

19. Copy the Total Hours column (M) from the AgriSmart export to the Units column (G) in the MYOB file.

20. (Optional) Copy the Notes column (R) from the AgriSmart export to the Notes column (E) in the MYOB file.

21. The Payroll Category column (C) is mandatory in the MYOB file. If you don’t know each employee’s specific category, a common option is Base Hourly. Enter this (or the relevant payroll category) and drag it down for all employees.

22. Ignore the Job column (D) and Start/Stop Time column (I) in the MYOB file, as these aren’t mandatory.

23. Save the MYOB file as a Text file.

24. Open MYOB.

25. Click the Settings menu and choose Import and Export Data.

26. On the Import tab, set Data Type to Timesheets.

27. Click Browse and locate the MYOB file.

28. Select the MYOB file, then click Open.

29. In the Match employees using field, choose Company Name or Last Name.

30. Click Import.
